Document management software (DMS) gives a business one organised, searchable home for its files, with control over who can see or change each one and a record of every version. If your team still hunts through email attachments, shared drives and WhatsApp chats for “the final invoice”, that hunt is the problem a DMS solves.
This guide explains the features that separate real document management from plain file storage, compares the main types of tool, and covers what Indian businesses in particular should check, including data protection rules. Product details come from official pages checked on 27 October 2026.
How we put this guide together
- Sources: official product and pricing pages. Some vendors don’t show prices without a calculator or sales call; we say where that’s the case.
- Not done: no hands-on testing or migration trials.
- Not legal advice: record-retention and data protection rules depend on your industry. Check with your accountant or legal adviser.
File storage vs document management
Cloud storage and document management overlap, and many businesses start with storage and grow into management. The difference is control:
| Capability | Basic file storage | Document management |
|---|---|---|
| Store and share files | Yes | Yes |
| Version history | Usually limited | Full history, restore any version |
| Permissions | Per file or folder sharing | Granular roles by team, folder and document type |
| Search inside documents | Sometimes | Full-text search, often with OCR for scanned files |
| Audit trail | Basic activity | Exportable log of who viewed, edited or shared what |
| Retention rules | Rare | Keep or delete documents automatically after set periods |
| Workflows | No | Approvals, reviews and routing |
Essential features to look for
- Version controlEvery save is kept, and you can see and restore earlier versions. This ends the “final_v3_REAL.docx” problem.
- Granular access controlFinance sees finance, HR sees HR, and external clients see only their folder, ideally with expiring links.
- Search and OCRSearch the text inside PDFs and scanned paper documents, not just file names. OCR turns scanned images into searchable text.
- Audit trailA log of who opened, changed, downloaded or shared each document, which is essential when something goes wrong or an auditor asks.
- Retention and deletionRules that keep records for as long as you must, and delete personal data when you no longer should hold it.
- Approvals and e-signaturesRoute contracts, invoices and policies for review and signature without printing.
Types of document management software
Google Workspace or Microsoft 365. Familiar and bundled with email, with sharing and version history; more limited retention and workflow controls on lower plans.
Tools such as Zoho WorkDrive add granular permissions, retention policies and audit trails at a small-business price.
Enterprise systems built around metadata, workflows and compliance. Usually priced by quote, with longer setup.
Examples: what the documentation shows
Google Workspace is often the default. Its pricing page, even on the India site, lists prices in US dollars: Business Starter at $7 per user a month with 30 GB of pooled storage per user, Business Standard at $14 with 2 TB, and Business Plus at $22 with 5 TB, on an annual commitment and excluding tax. New customers get an introductory discount for the first year on the first 20 users. These plans are for up to 300 users.
Zoho WorkDrive is built for team document management. Its pricing page lists three plans, all billed annually with a minimum of 3 users. Starter includes unlimited file versions, granular access controls and customisable retention policies. Team adds folder permissions, access stats and 120-day data recovery. Business adds an exportable admin audit trail and data loss prevention policies. Prices appear through a currency and billing selector (including INR) rather than as fixed figures on the page, so check the calculator for your team size.
Dedicated enterprise DMS vendors typically quote per project. Ask for the total cost including setup, migration, training and annual support, not just the licence.
What Indian businesses should check
Data protection: the DPDP Act and Rules
India’s Digital Personal Data Protection Act, 2023 applies to digital personal data, including paper records later scanned into a system. The DPDP Rules were notified in November 2025, with obligations phased in over the following months, according to summaries from advisers such as BDO India. If your documents contain customers’ or employees’ personal data, check which obligations apply to you and when, and choose a DMS that supports access control, retention and deletion.
- Where is the data stored, and does the vendor offer an India data region if you need one?
- Can I set retention rules that match my statutory record-keeping periods?
- Can I find and delete a person’s data if they ask, or when I no longer need it?
- Are prices shown in INR, and is GST added on top?
- Does it search scanned documents (OCR), including Indian-language text if I need it?
- Is there an exportable audit trail on the plan I’m buying?
Alternatives and a sensible path
You don’t need to buy enterprise software on day one. A typical small-business path looks like this:
When storage is enough
- Small team, few sensitive documents
- Files mostly created in Docs or Word
- No formal audits or approvals
- Simple sharing with a handful of clients
When to move to a DMS
- Many scanned or paper documents to search
- Personal data, contracts or financial records at scale
- Auditors, regulators or clients asking who accessed what
- Repeated approval and signature workflows
Our verdict
Bottom line
Start by tidying what you already have: an office suite such as Google Workspace (from $7 per user a month, listed in USD even in India) covers storage, sharing and basic versioning. Move to a team platform like Zoho WorkDrive when you need retention policies, granular permissions and audit trails. Choose a dedicated DMS only when compliance and workflows demand it.
For Indian businesses, add DPDP readiness to the checklist: access control, retention and deletion for personal data. Details were checked on 27 October 2026.
Common questions
What is document management software?
It's software that stores, organises and controls business documents, with version history, permissions, search, audit trails and retention rules. It turns scattered files into a controlled, searchable system.
What is the difference between cloud storage and a DMS?
Cloud storage keeps and shares files. A DMS adds governance: detailed permissions, full version history, audit logs, retention and deletion rules, and approval workflows.
What features should document management software have?
Version control, granular access control, full-text search with OCR, an audit trail, retention policies and approval or e-signature workflows. Check which features are on the plan you'd buy.
Is Google Workspace a document management system?
It covers storage, sharing and version history well, and suits many small teams. For strict retention, detailed audit trails or document workflows, a team platform or dedicated DMS may be needed, depending on the plan.
How much does document management software cost in India?
It varies widely. Google Workspace lists Business Starter at $7 per user a month (USD) even on its India site, while Zoho WorkDrive shows prices, including INR, through a calculator. Enterprise DMS vendors usually quote per project. Add GST.
Does the DPDP Act affect document management?
Yes, if your documents contain personal data. The DPDP Act 2023 covers digital personal data, including scanned records, and its Rules were notified in November 2025 with phased obligations. Check which apply to you and when.
